Documentation development life cycle

In software development, high-quality documentation is created through a well-defined and structured process. This is where the Documentation Development Life Cycle (DDLC) becomes essential. DDLC provides a clear framework for planning, creating, reviewing, publishing, and maintaining documentation throughout the product lifecycle. For technical writers, it ensures documentation remains accurate, consistent, and aligned with product updates. By adopting DDLC, software companies can deliver user-focused documentation that improves product usability and customer experience. Understanding and applying DDLC helps technical writers produce reliable documentation that supports both users and development teams.

The following are the phases of DDLC:

Planning

In the planning phase, you first understand the product, target audience, and documentation requirements. For example, if your company is launching a new API feature, you identify whether developers need an API reference, quick start guide, or integration tutorial. You also collaborate with product managers, developers, and SMEs to understand the scope and timelines. Based on this information, you create a documentation plan that lists the required documents, tools (such as Markdown, GitHub, or Oxygen), and the release schedule. This planning ensures that documentation is delivered along with the product release and meets the needs of end users.

Analysis

In the analysis phase, you collect detailed information about the product feature before writing the documentation. You collaborate with SMEs, developers, product managers, and testers to understand how the feature works, what problem it solves, and who the target users are. During this phase, you often conduct SME interviews where you ask developers about workflows, APIs, system behavior, and possible error scenarios. For example, if your company is releasing a new two-factor authentication login feature, you ask the developer how the authentication flow works, when the OTP is triggered, and what happens if the OTP fails.

You also review product requirement documents (PRDs), UI designs, user stories, and test cases to gather accurate technical details. In many software companies, technical writers also try the feature themselves in a staging or test environment. By using the product hands-on—such as enabling two-factor authentication, logging in, and observing each screen—you understand the real user experience and capture accurate steps and screenshots. This analysis phase ensures you fully understand the feature so your documentation is clear, accurate, and helpful for users.

Designing

In the design phase, you define the structure, layout, and visual presentation of the documentation before you start writing the content. As a technical writer, you design the overall format of the user manual so that the document is consistent, easy to navigate, and professional. This phase focuses on how the documentation will look and how information will be organized for the reader.

For example, if you are creating a User Manual in Microsoft Word, you first design a cover page that includes the product name, company logo, document title (such as User Guide), version number, and release date. This gives the document a professional identity and helps users easily recognize the documentation.

Next, you design the heading structure using multilevel lists. In Microsoft Word, you create structured headings such as Heading 1 for main sections, Heading 2 for subsections, and Heading 3 for smaller topics. For example:

Once headings are structured, you design the Table of Contents (TOC). By applying Word heading styles, you can automatically generate a TOC that allows readers to quickly navigate to different sections of the document.

You also design the headers and footers of the document. For instance, the header may contain the product name or document title, while the footer may include the company name, version number, and page numbers. You then configure page numbering, usually starting from the introduction page, to maintain a professional document structure.

During this phase, you also decide the layout of sections such as notes, warnings, screenshots, tables, and step-by-step procedures. This ensures that the documentation follows a consistent design throughout the manual. Once the entire document structure and design template are finalized, you proceed to the next phase of DDLC, where you start developing the actual content.

Development

In the Development (Content Creation) phase, you start writing the first draft of the documentation using the information you collected during the analysis phase. The notes from SME interviews, product requirement documents, UI screens, and your hands-on experience with the product help you clearly explain how the feature works. This phase focuses on converting all the gathered information into structured and user-friendly documentation.

While writing, you always keep your target audience in mind. For example, if you are writing an API guide for developers, you include technical details such as endpoints, request parameters, response examples, and error codes. If you are writing a user guide for end users, you focus on step-by-step instructions, screenshots, and simple explanations.

You also follow the document design and template that you created in the design phase. For example, if your Microsoft Word template already includes a cover page, multilevel headings, headers, footers, and a structured TOC, you start writing your content within that framework using the predefined Heading 1, Heading 2, and Heading 3 styles. This keeps the documentation organized and consistent.

For instance, if your company releases a new user registration feature in a web application, you may create sections such as Introduction, Prerequisites, Steps to Register, and Troubleshooting. Under the “Steps to Register” section, you write clear instructions like:

  1. Open the application login page.
  2. Click Sign Up.
  3. Enter your email ID and password.
  4. Verify your email using the OTP sent to your inbox.

By following the information gathered during analysis and the template created in the design phase, you produce a well-structured first draft that is ready for review in the next phase of the DDLC.

Review and editing

In the Review and Editing phase, you validate the accuracy, clarity, and quality of the documentation before it is published. In most software companies, documentation usually goes through two types of reviews: Technical Review and Functional Review.

Technical Review is performed by the engineering or development team. In this review, developers check whether the documentation accurately explains how the product feature works. They verify steps, commands, APIs, configurations, and system behavior. For example, if you wrote documentation for a password reset feature, the engineering team may test the steps you documented—such as clicking Forgot Password, entering the registered email, receiving the OTP, and setting a new password. If any step, parameter, or workflow is incorrect or incomplete, they provide feedback. You then evaluate their comments and incorporate the changes into the documentation. If you have questions or if something is unclear, you can always discuss it directly with the engineers to ensure the documentation remains accurate.

The second review is the Functional Review. This review focuses on content quality, clarity, structure, and writing standards. In many organizations, this review is done by peer technical writers who check whether the documentation follows the Microsoft Style Guide, uses clear language, maintains consistent terminology, and follows the documentation structure planned earlier. If you are the sole technical writer in the company, you perform this review yourself by carefully checking grammar, readability, formatting, heading structure, and alignment with the planning, analysis, and design phases.

For instance, you may review whether the document uses consistent headings, whether step-by-step instructions are clear, whether screenshots are placed correctly, and whether the document follows the template you designed earlier. If you identify improvements or receive feedback from peers, you update the documentation accordingly.

Once both technical and functional reviews are completed and all feedback is incorporated, the documentation becomes more accurate, polished, and ready for release. After finishing the review and editing phase, you then move to the next phase of the DDLC cycle.

Publishing

In the Publishing (or Delivery) phase, you release the final version of the documentation after completing the review and editing process. At this stage, your goal as a technical writer is to generate the final output files and make them accessible to the relevant stakeholders such as engineering teams, product managers, support teams, and sometimes clients.

The publishing format usually depends on the documentation tool you are using. For example, if your documentation is written in Microsoft Word, you typically export the final document as a PDF file so that the formatting remains consistent and the document can be easily shared with users. If you are using MadCap Flare, you usually generate an HTML output, which allows users to access the documentation as a web-based help portal. Similarly, if you are writing documentation in Visual Studio Code using Markdown, the content is often converted into HTML pages or a documentation website.

For example, suppose you created a User Manual for a new user registration feature in a web application. After completing the reviews and making all necessary changes, you generate the final output file—such as a PDF or HTML help page. You then store these output files in a shared location within the company.

In many software organizations, technical writers store the published documentation in Microsoft SharePoint folders or within GitHub repositories. This ensures that the documentation is centrally stored, version-controlled, and accessible to the internal teams. After saving the output files, you usually share the access link with the engineering team so they can review the final published documentation.

This also helps engineers when they are communicating with clients or external stakeholders. If an engineering team member needs to discuss documentation with a client, they can simply share the documentation link or output file instead of sending multiple document versions. This keeps the documentation consistent and easily accessible.

Once the publishing phase is completed and the documentation is successfully delivered to the stakeholders, you then move on to the next phase of the DDLC cycle, which focuses on maintaining and updating the documentation as the product evolves.

Maintenance

In the Maintenance phase, you update the documentation after it has already been published. In a software company, products continuously evolve—new features are added, existing features are improved, and sometimes clients provide feedback that requires changes in the product. As a technical writer, your responsibility is to keep the documentation updated so that it always reflects the latest version of the product.

For example, suppose your company has already published a User Manual for a web application that includes a user registration feature. After a few months, the engineering team receives feedback from clients that users should be able to sign up using their Google account instead of only using email and password. The development team then works on implementing the “Sign up with Google” feature.

Once the feature is implemented, the engineering team informs you about the update. You then review the new functionality by talking to developers, checking updated user stories, or trying the feature in a staging environment. Based on this information, you update the existing documentation. For example, in the User Registration section, you may add a new step such as:

  1. Open the application login page.
  2. Click Sign Up.
  3. Choose one of the following options:

You may also update screenshots, notes, or troubleshooting sections if the workflow has changed. After making these updates, you again review the changes, regenerate the output files (PDF or HTML), and republish the updated documentation.

In many companies, these updates are small but frequent, especially when the product is developed using Agile methodology where features are released in short iterations. As a result, the maintenance phase ensures that the documentation remains accurate, relevant, and aligned with the latest product updates, providing users with the most reliable information.

Well-structured documentation not only helps customers use the product effectively but also builds trust in the product itself.
